Vendor Registration is OPEN for the Brewster Fall Festival September 25, 2022!

Once payment is received, you will receive an email allowing you to choose the location of your booth. This incentive is  through September 12th. After that time, vendors will be place in the order they are received. 

Terms and Conditions for the Brewster Fall Festival

 If accepted you must agree to exhibit at the 2022 Brewster Fall Festival on September 25, 2022, and to comply with all of the Vendor requirements as stated herein:

Registration: All registration applications should be submitted online or call 845-363-8330 before September 12th, 2022.
  • For-Profit Entity based in Brewster/Southeast/Patterson $175 for 10ft x 10ft space
  • Not-for-Profit Organization $125 for 10ft X 10ft space
  • Food Vendor $400 for 30ft x 10ft space
  • All other Vendors $225

Schedule: Vendor participation is mandatory from the hours of 11am through 4pm. All exhibits must be completely staffed and operating during the full hours of the Event. 

Set Up: The Village of Brewster Police Department will close Main Street to vehicular traffic for the Event. Vendor time-slots for set up will be sent two weeks prior to the event. Please arrive at your scheduled time. Only one vehicle per booth will be permitted at check-in. Vendor vehicles must be removed from Main Street by 10:30am. Designated Vendor parking (one vehicle per booth) will be available.
 
Vendor Space and Usage: Each contracted Vendor space shall measure no more than 10’x 10’ (Food Vendors shall measure no more than 30’x30’). Vendors may opt to purchase multiple spaces. Vendor shall use the contracted space as stated in their online registration.
 
Exhibit Location: The Brewster Fall Festival Committee shall determine Vendor space location.  Requests for specific locations will be considered but cannot be guaranteed. Vendor placement along Main Street will be designed to create diversity in each section, to facilitate the flow of attendees.
 
Exhibit Restrictions: Vendor space must face the center of Main Street. Temporary tent structures must be secured in place to prevent shifting or collapse. If a tent is being used, state law requires to be weighted down a minimum of 25 pounds per leg. Vendors may not encroach on any adjoining space. Music and/or sound effects must be kept at an acceptable level. Live music and/or amplified sounds within the Vendor space are prohibited. Pets are not permitted unless they are licensed service animals. Vendors may not sell or distribute alcoholic beverages. Vendors may not obstruct the sidewalks in any manner.
 
General Restrictions: The Brewster Fall Festival Committee reserves the right: (1) to reject any applicant that, at their sole discretion, is deemed inconsistent with the overall atmosphere of The Brewster Fall Festival 2021 or is incompatible with other exhibitors; (2) to restrict or remove (without a refund) exhibits that have been falsely entered or are deemed objectionable.
 
Food Permits: All Food Vendors are required to have or obtain a valid Temporary Food Service Permit provided by the Putnam County Department of Health and must provide proof of permit prior to August 1, 2022. If a Vendor currently has a Permit, it must be verified that it is approved for off-premises preparation of food, i.e. catering. Contact Rick Carano at the Health Department: 845.808.1390 x 43216 with any questions. Vendors without this above information shall be refused entry and set-up.
 
Equipment and Clean Up: Vendor shall supply any needed equipment such as tables, chairs, electrical extension cords, and tents. ELECTRICAL OUTLETS AND EQUIPMENT WILL NOT BE PROVIDED. Generators are permitted by must be communicated to the festival prior to arrival. Electrical extension cords must be heavy-duty, UL rated. Contracted area must be neat and orderly at all times and kept free of refuse. Vendors may not leave any materials or refuse behind at the end of the Event. All refuse must be bagged and disposed of near a trash receptacle.
 
Vendors may not operate after 5pm - without exception. At the conclusion of the event, contracted space must be left completely free of personal property, refuse, packing, and display materials by 6pm. The Village of Brewster Police Department will strictly enforce this rule to ensure that the Village Highway Department crew can begin to restore Main Street and open it to traffic.
 
Liability: Neither the Village of Brewster nor the Town of Southeast Cultural Arts Coalition shall be responsible for loss or damage occurring to persons, property or exhibits from any cause. Vendor is responsible for transportation, insurance and sale of their own work. Vendor agrees to protect and hold harmless the Village of Brewster, the Town of Southeast Cultural Arts Coalition and its organizers against any and all claims that may arise from participating and displaying at this event. Upon receipt of this form, and subsequent approval by the Cultural Arts Coalition, this agreement shall become a binding and enforceable contract between the parties. In the event the Vendor fails to occupy or use their contracted space by the opening of the Brewster Fall Festival 2021, the Vendor shall forfeit all right to the contracted space. The Brewster Fall Festival is a rain or shine event. All registration fees are non-refundable. There are no exceptions to the Rules and Regulations stated above.
 
Insurance: Vendor shall purchase and maintain such insurance, naming the Village of Brewster and the Town of Southeast Cultural Arts Coalition as additional insured as it will protect them from claims, which may arise out of, or result from the activities of the vendor. The Village of Brewster and the Town of Southeast Cultural Arts Coalition shall not be responsible for loss or damage occurring to the vendor space or sustained by the vendor from any cause. Such additional insurance, if desired, must be obtained by the vendor.
